There are times when an enquiry comes in which causes you to
tear up your event-booking templates and start from scratch.
Last month's Bangladesh Medical Association UK (BDMAUK) 44th
conference and family reunion weekend was one of those times, as
Keith Turnbull, General Manager for The Cheltenham Chase Hotel
"BDMAUK have held their annual event at QHotels for the last 6
years and this August they had chosen to book at The Cheltenham
Chase Hotel. When you have an ongoing relationship with a
client it gives you a great opportunity to learn about their
specific requirements and to keep developing more ways to organise
a great event for them.
One of the unusual aspects of this event is that the attendee
numbers remain fluid throughout the planning process. Even on
the day of the event we don't know quite how many people to
expect! Because we understand the Bangladeshi culture of
hospitality, and that it would be considered rude to turn anyone
away, our team developed ways to work together with the
BDMAUK including communicating regularly throughout the planning
process, building some flexibility into the event space provided,
and even allowing unexpected attendees to purchase 'meal tickets'
on reception on the day of the event.
We not only created a bespoke menu and alcohol-free offering for
BDMAUK, we also served meals and snacks at times which worked best
for them. This included everything from setting up a
soft-drinks station to serving tea and cake at midnight!
The client's use of our event space was also unique - in
addition to the large conference space for around 120 people, we
arranged a separate prayer room and space for them to hold a sari
sale in our conference café to aid their charity fundraising
I think this type of event works particularly well at QHotels
because the teams here are so flexible and responsive and genuinely
enjoy rising to the challenge of creating something outside of the
Dr Abu Malek, President of the Bangladesh Medical Association UK
also commented on how the conference had performed:

our annual Reunion and dinner at your hotel. All your staff have
been very well mannered, welcoming and flexible. The foods were
delicious, served on time. Throughout the pre-event, during event,
yourself and two of your colleagues Hayley and Romy were simply
wonderful. Myself and other members are very satisfied the way you
dealt our needs. Please convey my thanks to your staff for their
dedicated service. I hope we shall see you again in future."
We were all delighted by how successful the weekend was -
particularly as the client has already booked next year's reunion
with QHotels, at The Nottingham Belfry this time!
