Terms and Conditions – Fairway

Golf (inc. Booking & Cancellation Policy)


  • Almarose Hotels Ltd maintain the right to amend Terms and Conditions at any time.
  • Members who paid £375 or more at their last renewal can use points for tee times, driving range tokens, buggy hire, or trolley hire at the following Fairway clubs; Belton Woods, Dunston Hall, Oulton Hall, Slaley Hall, The Westerwood Hotel & Golf Resort, Forest Pines Hotel & Golf Resort, and Telford Hotel & Golf Resort.
  • Members who paid less than £375 at their last renewal can only use points at their registered home club.
  • Members who paid less than £375 at their last renewal, and who have a registered home club of Belton Woods, Dunston Hall, Oulton Hall, Slaley Hall, or Forest Pines Hotel & Golf Resort, cannot use their points to reserve tee times of 9 or 18 holes for a Saturday or Sunday. They are allowed to use their points for driving range tokens, buggy hire, or trolley hire for these days.
  • A maximum of 4 golfer’s greens fees can be paid with your points per booking.
  • Guests may be invited to play golf but must be accompanied by a Fairway member.
  • If a member decides not to use their points for a guest the guest will pay the prevailing rack rate green fee.
  • A member may only invite the same guest to play a maximum of five times within a calendar year. After this the guest would be required to pay a Standard Green Fee or join the flexible membership scheme.
  • Each booking requires a least one member to be present.
  • Each booking requires a name and membership number at point of making a tee reservation.
  • Tee times may be reserved between 11 – 30 days prior to date of play depending on the member’s tier of Fairway membership.
  • All cancellations must be made by telephone to Golf reception/shop or online prior to 24hrs before the booked tee time reservation.
  • A booking is unable to be cancelled within 24 hours of the booking.
  • Any cancelled booking is only deemed as cancelled upon the receipt of a confirmation email. Any booking cancellation, including reduction in numbers that is not confirmed via email will be deemed as a live booking and non-arrival will result in points being redeemed by the club.
  • Bookings using points cannot be used in conjunction with any other offer, e.g. 2 for 1 voucher, or on any previously booked event.
  • All golf is based on four balls; smaller numbers could be paired up with additional golfers.
  • Members receive a preferential rate on selected ancillary golf items.
  • A junior only qualifies for free membership if their legal parent or guardian is a paying member and the junior is aged 15 years or less.
  • A 300 point (non-corporate) purchase will provide the member with 2 membership cards. Both card holders will be required to reside at the same residential address. Proof of address may be required.
  • A 400 point (non-corporate) purchase will provide the member with up to 4 membership cards. All card holders will be required to reside at the same residential address. Proof of address may be required.
  • To receive the same member benefits as the original point purchase all members are required to top-up by the same amount.
  • Minimum of 500 point purchase and top up required to be classified as corporate membership.
  • A corporate member must top up by the original points purchased to retain their points balance once they reach their membership renewal date.
  • of membership cards are dependent on the tier of corporate membership that is purchased by either registration or top up.
  • Corporate members are to abide by the same guidelines as individual members.
  • A VAT receipt for both new corporate registrations and top ups are available upon request.
  • All points for a membership are valid up to and including the membership renewal date. This can be located on the membership Account Summary page.
  • Any 50 point top-up purchase does not change the Fairway member's current top up date.
  • Any points remaining are carried over when the account is renewed.
  • Any membership benefits cannot be used in conjunction with another benefit scheme or any other offer/promotion. Member benefits are subject to availability and change.
  • Participation in specific club competitions may be dependent on local eligibility requirements.
  • All additional member benefits are subject to availability.
  • Points can only be redeemed on hire items and driving range tokens on the day of play and can not be pre-booked.


Code of Conduct and Golf Course Etiquette

  • All prospective Points membership card holders may be required to have a 30-minute introductory golf lesson at their home club before the Scheme can become operational for them. This will also include etiquette and an introduction to Golf Operations staff and procedures.
  • Each member must adhere to The Rules of Golf and their home club golf course etiquette at all times. The clubs dress code must be adhered to at all times whilst on the golf course.
  • Each member is responsible for making their guests aware of their home golf course etiquette and ensuring their guests are aware of their own insurance liability.
  • Before commencement of play all players must report to Golf reception/shop a green fee ticket will be issued which must be presented to the starter.
  • All Golfers are expected to commence play from the 1st Tee, unless otherwise instructed to do so by the Golf Operations team.
  • A member has the right to cancel their membership and receive a refund based on their points balance within 7 days of their most recent points purchase.


Spa & Leisure Bookings (inc. Cancellation Policy)

  • Guests may be invited to use the Spa & Leisure facilities but must be accompanied by a Fairway member. Points may be redeemed for guest access to the Leisure Club & for a selected range of spa treatments.
  • Points can be used on spa treatments at the member's registered home club only (excluding Dunston Hall) from Monday to Thursday and the member must hold 200+ points in their account as the time of booking
  • Spa treatments are subject to availability and may change.
  • Members or their guests wishing to redeem points against Spa Treatments must be 16+ years of age.
  • Each booking requires at least one member to be present.
  • Each booking requires a name and members number at point of making a reservation.
  • Spa Treatments & Leisure Visits may be reserved up to a maximum of 7 days in advance of date of arrival. This booking window maybe amended or changed at any time locally
  • All cancellations must be advised by telephone to leisure/spa reception prior to 24hrs before the booked treatment time reservation.
  • A booking is unable to be cancelled within 24 hours of the booking.
  • Any cancelled booking is only deemed as cancelled upon the receipt of a confirmation email. Any booking cancellation, including reduction in numbers that is not confirmed via email will be deemed as a live booking and non arrival will result in points being redeemed by the club.
  • The point’s bookings cannot be used in conjunction with any other offer, or on any previously booked event.
  • To use selected leisure club facilities the Fairway members must have purchased a minimum of 200 points.


Code of Conduct and Behaviour

  • All members & their guests must sign a disclaimer prior to using fitness facilities.
  • Members and their guests are asked to observe to the Spa etiquette and rules of the leisure club, a copy of which is located at each club’s reception.
  • In order to redeem points against Spa Treatments, the member or their guest must be 16 years of age or over. An adult must accompany anyone under 18 years of age.
  • For Health & Safety reasons, we recommended that no alcohol be consumed 24 hours prior to visiting the Spa.
  • To ensure that you receive your entire treatment, you should arrive at least 30 minutes prior to your spa experience.


Sunday Night Stay (inc. Cancellation Policy)

  • Sunday night accommodation is available at all Almarose Hotels Ltd and hotels.
  • To qualify, members must have purchased a minimum of 200 points at their last renewal, OR must have 200 points in their account at the time of booking.
  • Qualifying members can book a standard single, twin or double room. The room must be booked in the member's name and can include a maximum of one additional guest.
  • Bookings must be made a minimum of 14 days in advance via your home club membership advisor. The member's name and membership number must be quoted at the time of booking.
  • Cancellations must be made a minimum of 48 hours before booking if points are to be credited back to the member's account. Cancellations must be made by contacting your home club membership advisor.
  • This offer cannot be taken in conjunction with other offers.
  • This offer is not available on any Sunday where the next day is a Bank Holiday Monday.
  • Bookings are subject to availability.


General

  • All points for a membership are valid up to and including the membership renewal date. Renewing your membership will extend your current renewal date by 12 months.
  • Any points not redeemed at expiry will therefore be lost and cannot be carried over.
  • A corporate member must top up by the original points purchased to retain their points balance once they reach their membership renewal date.
  • Every renewal will carry forward the current membership renewal date by 12 months.
  • Any awarded free points are valid to your renewal date.
  • Fairway points are non-transferable.
  • The member is responsible for safe keeping of membership cards. Fairway cannot be held responsible for loss or damage of membership cards. Lost cards can be replaced however an admin fee may apply.
  • Points membership holders are permitted to play in away competitions provided they return their away scores for processing.
  • Almarose Hotels Ltd cannot accept any liability for accident, injury or misadventure. Members and their guests are responsible for making their own insurance arrangements in respect of any injuries suffered or caused to them, or caused by them and any third party.
  • The member’s home club reserves the right to restrict / ban at any time the use of the golf buggies and trolleys in accordance with the weather conditions. Any person wishing to hire a golf buggy must sign and adhere to the Conditions of Hire agreement. The club reserves the right to prohibit anyone from hiring a golf buggy without any explanation being given.
  • If in the event the Club deems it necessary to enforce a course(s) closure due to weather on grounds of safety of prevention of undue damage to the course points will not be redeemed.
  • Memberships are unable to be extended under any circumstances and is non-refundable.
  • Golf courses may be withdrawn or added to the flexible membership scheme at any time.
  • Almarose Hotels Ltd reserves the right to amend Terms and Conditions at any time.


Termination of Membership

  • Almarose Hotels Ltd reserve the right to terminate membership for a serious breach of rules, or conduct which, in the clubs reasonable opinion, is damaging to the character or interest of the club or offensive to other members of club staff.
  • The club may at any time withdraw all or any part of club facilities for any period or periods where and when it may be deemed necessary for repair, maintenance, alteration safety reasons or fall alternative use.
  • Almarose Hotels Ltd will use the details you supply to provide you information regarding the company’s products and services. From time to time we would also like to keep you informed (by post, telephone or e-mail) of information about other products and services which may be of interest to you.
  • If you wish to change your marketing preferences at any time you can do so, just login and change them on your profile page.
