Agreed actions from Quarterly Tennis Members Meeting - 14th May 2014

  • De-fibrillator based in the leisure club is progressing. At least 50% of funding will need to come from fundraising. Hotel will make up the difference.
  • For 2014, so far, the courts have been unavailable for play due to an event for 1 day on 11th February, 7th March, 1st April and for 2 days on 27th & 28th April. They will be unavailable again on the 16th & 17th June.
  • For the rest of 2014 at present, the courts are likely to be unavailable Saturday 26th July and Saturday 2nd August.
  • Historically there has been a 2 week period in November when the courts are sold for events (likely to be off for circa 8 days.) It is also probable there will be other enquiries and potential confirmed
    events in the year especially weekends in December, but nothing confirmed as yet.
  • In addition to the email notification of closures 1 month before hand, the leisure club staff (especially front desk) to be aware for any queries via the email directly to them and communication specifically to them. Georgina to ensure this happens following example of mix up on 25.05.14.
  • For this year's member's tournament worth starting earlier (September time) to get the matches completed in good time.
  • General court cleaning has improved following new cleaners. Georgina to keep monitoring so that this continues.
  • Ensure all non tennis events that happen on courts without carpeting have non marking footwear or wheels, etc as appropriate.
  • Net height measuring sticks are available from reception under the light keys.
  • Shyam will ask new members who are playing tennis regularly if they wish to join the specific tennis member's database. Continue to invite. Use max of 2 courts at a time.
  • Shyam will put up on notice board, summary of teams available for all members to join. Results have been good so far. Teams will play their matches outside of busy times so Sundays or Saturday afternoons wherever possible.
  • No shows for courts has improved so continue threat of not accepting a booking for following week for offenders
  • Remainder of 2014 meetings to be 17.30 on Weds.
  • Dates of 10th Sept and 3rd Dec.

  • De-fibrillator based in the leisure club still under discussion. Potential options still to be approved by group H&S manager.

 

  • The half a month subscription reductions have all now been processed bar 3 or 4 people whose reduction will be processed in coming days for 1st March direct debit.

 

  • As previously advised this reduction will only apply to people on the specific tennis member's database.

 

  • For 2014, so far, the courts have been unavailable for play due to an event for 1 day on 11th February. They will be unavailable again next Friday 7th March and from 7pm on Monday 31st March until Wednesday 2nd April.

 

  • For the rest of 2014 at present, the courts are likely to be unavailable Monday 16th and Tuesday 17th
    June, Saturday 26th July and Saturday 2nd August.

 

  • Historically there has been a 2 week period in November when the courts are sold for events (likely to be off for circa 8 days.) It is also probable their will be other enquiries and potential confirmed events in the year especially weekends in December, but nothing confirmed as yet.

 

  • In addition to the email notification of closures 1 month before hand, the leisure club staff (especially front desk) to be aware for any queries via the email directly to them and communication
    specifically to them.

    Number of attendees has significant impact on this so information is not likely to be available that far in advance.

 

  • Shyam will put up on notice board, summary of teams available for all members to join. NB Summer team availability will be going up shortly. Teams will play their matches outside of busy times so
    Sundays or Saturday afternoons.

 

  • No shows for courts still ongoing issues. Threat of not accepting a booking for following week is being trialled.

 

  • Reminders of court booking rules are outlined below.

 

  • Courts can be booked from 7am on Monday to Friday and from 8am on Saturday and Sunday. Each
    member is entitled to hire a court for a maximum of 2 hours per day. Courts must be cancelled 24 hours in advance. Members can only book one court per day in their name. Members are not permitted to book courts for their fellow members or families. Tennis courts can only be booked by members 18 years and older. Correct tennis attire must be worn on court, this includes non marking soles. Please familiarise yourself of the tennis etiquette, which is situated outside each of the courts.

 

  • Remainder of 2014 meetings to be 5.30pm on Wednesdays. Dates of 14th May, 10th September and 3rd December.





































 

Agreed actions from Quarterly Tennis Members Meeting - 4th December 2013

  • De-fibrillator based in the leisure club can be used by hotel team in an emergency. The possibility of buying and installing a suitable de-fibrillator is becoming more likely. It is being discussed with the group health and safety manager who has given broad approval. He is in the process of research and follow up for the group. NB Beechdown have got one so potential to check how they have trained and introduced use of it. TO BE UPDATED
  • For 2013 the courts have been closed due to corporate events on 16th & 17th January, 22nd April, 17th & 18th June, 31st August, 28th September, from 18th until 22nd November inclusive and finally 27th until 29th November inclusive. Total for 2013 will therefore be 15 days.
  • As agreed this means for the people on the tennis specific database only, their membership subscription taken on 1st Feb 2014 will be half the usual amount.
  • For 2014, this agreement will continue i.e. If all of the indoor tennis courts are unavailable due to corporate meetings, dinners, exhibitions and other events for 15 days in 1 calendar year, ½ a month's membership will be given free of charge. If this rises to 22 days in 1 calendar year, ¾ of a month's membership will be given free of charge. If this rises to 30 days in 1 calendar year, 1 full month's membership will be given free of charge. The direct debit taken on 1st February of the following year will be reduced accordingly to reflect this. The reduction in membership subscriptions only applies to members on the tennis specific member database.
  • For 2014 at present, the courts are likely to be unavailable 11th February, 6th & 7th March, 1st April, 16th & 17th June, 26th July and 2nd August. Based on what happened this year, in addition there are likely to be 3 or 4 other events through the year before November. Historically November will be busiest month for events in the tennis courts so likely to be unavailable for 8 to 10 days. Predicted total for 2014 is 8 days with strong enquiries + 12 other likely days (mainly in November). Therefore total of 20 days. There are very few bookings behind this hence why few dates can be given. NB As in 2013 this is an estimate.
  •  In addition to the email notification of closures 1 month before hand, the leisure club staff (especially front desk) to be aware for any queries.
  • It's worth checking you all have valid BTM number before end of the year. That has been a stipulated cut off in the past to be eligible for entry in the Wimbledon ticket ballot. Suggestion is to go onto BTM website and check you have a number -https://www2.lta.org.uk/Login/
  • The Hampshire Court Hotel Tennis Championships is well up and running. Ladies singles at final stage, ladies doubles semi finals, men's singles at semi, mixed doubles at semi stage.
  • For next year's tournament worth starting earlier (September time) to get the matches completed in good time.
  • General court cleaning is not good enough. The current 10 hours a week appears to have no impact and needs to improve.
  • Net height measuring stick to be on each court.
  • If members wish to book more than 1 court for a tournament or similar, more than 1 week out, need to leave at least 1 court free for other members to book. Exception for charitable events is accepted.
  • Tennis balls will be replaced every 3 months starting in December 2013.
  • 2014 meeting to be 17.30 on Wednesday. Dates to be 26th February, 14th May, 10th September and 3rd December.
