Christmas and New Year Terms and Conditions:

Please have a little read of this handy information before you book your Christmas party or festive stay with us. For any further questions or special requests please do give us a call and we’ll do our very best to help you!

Christmas Party Nights

For a Christmas party booking, we’ll ask you for a £15.00 per guest non-refundable, non-transferable deposit which will be used against the cost of the meal and cannot be used on drinks. Full pre-payment will be required six weeks prior to the function date.

For accommodation bookings, we’ll ask for full pre-payment.

Your booking will not be confirmed until we receive all the deposits and should you be booking on behalf of a group, then please arrange one cheque or credit card payment.

If you have to cancel your party and we sincerely hope you don’t, if you cancel before 1st November, you will lose your deposits; if you cancel after this date you will be charged the total value of your event, including all meals, pre ordered drinks and accommodation.

All event dates are subject to availability and should any date fail to reach minimum numbers we will advise you well in advance and will either transfer the party to a more suitable room, offer you an alternative date or a full refund.

Where menu choices apply the hotel will need these and any special dietary requests for your party prior to the event. Then hotel will provide the relevant information with your confirmation

Although dishes may not contain nuts as an ingredient, there is a possibility that they will contain nut traces. We strongly advise guests with nut or other allergies to discuss this with their hotel contact.

Bookings over 10 guests and private parties will be subject to a separate contract which will be issued at the time of enquiry.

The special party night accommodation package is only available to guests attending a party night at the hotel and are subject to availability. On occasion we may have limited rooms available so we recommend booking early to avoid disappointment.

All party nights are subject to availability and based upon two people sharing a standard double or twin bedroom. A single supplement applies.

Prices

All packages are subject to availability and include VAT. The prices are per guest and based on two adults sharing a standard bedroom, otherwise a single occupancy supplement will apply.

Guaranteeing your booking

To guarantee your Christmas or New Year package you’ll need to pay a £50 per guest non-refundable, non-transferable deposit. You can pay by Access, Mastercard, Visa, American Express, Diners, Switch. The balance is payable by 1st November 2012. Bookings made after this date require full payment. You can book by contacting central reservations on 0845 074 0060 or contact your chosen hotel directly.

Central reservations are open Monday – Thursday 8am – 9pm, Friday 8am – 8pm, Saturday 9am – 5pm

and Sunday 10am – 4pm.

Children

We welcome children to all of our QHotels. Restrictions may be in place for a handful of our New Year’s Eve packages which may be for over 18s only. Please check on the individual hotel page in this brochure. A family bedroom may incur an additional supplement. Contact the hotel directly for this information. Children are permitted to use the swimming pools in all QHotels that have a pool and some hotels have splash times for children – please enquire when booking. Babysitting can be provided through Safe hands Network Ltd. QHotels are not the provider of this service and cannot take any responsibility for the act of any babysitter employed by you. All contracts must be worked out between yourself and Safe hands. Please call Safe hands directly on 0844 844 6688.

Your bedroom

You can check in from 3pm on the day of arrival and you will need to vacate your room by 11am the day you depart, unless otherwise stated in an individual hotel package. You can arrange a late check out when you’re at the hotel, for a small fee, just contact reception. Majority of the QHotels offer bedrooms for wheelchair users; please contact the hotel directly to ask for more information. We will do our best to accommodate special requests.

Room Supplements

Supplements apply for single room occupancy. This varies depending upon hotel. Supplements also apply for upgrades to designated Family rooms, Premium rooms, Superior rooms, QStar rooms and Suites and are per room each night.

Need to cancel?

If an unexpected event or unforeseen circumstances cause you to cancel your Christmas or New Year’s Eve package before 1st November, no additional cancellation fees will be charged although all deposits are non-refundable. Any bookings cancelled after this date will be charged for the total value of the package.

Any extra information?

When you arrive at the hotel you’ll be asked to provide a credit card to guarantee payment of any extras you have during your stay – such as drinks at the bar or beauty treatments in the spa. Most hotels have a Leisure Club which is free for you to use throughout your stay. Please note that any spa treatments taken or rounds of golf played will be charged additionally. Some spas may have limited opening times over Christmas and New Year so please check with the hotel directly. Car parking is free of charge at many hotels, however there are a few QHotels where car parking is an additional charge. Again, please check with the hotel directly.

Any feedback?

At QHotels we welcome all feedback. If you would like to raise a complaint firstly please do so with the hotel manager as soon as you can and we will try and rectify the problem as soon as possible. We’ve tried our best to make sure that all details of packages and all prices are correct. We do apologise if any of these have changed since sending the brochure to print or adding the information online. If we’ve made a mistake we will tell you when you enquire or book with us.  

Visiting friends and family breaks between 21st December 2012 - 6th January 2012

The visiting friends and family prices are per room per night and based upon two guests sharing a standard bedroom; a single supplement applies. Please be aware that only a limited amount of bedrooms will be available at this low price, once the allocation has gone then you will be awarded the next available lowest price. This offer is subject to availability. Rooms at this reduced price are available from 21st December 2012 - 6th January 2013 but may excludes  24th, 25th, 26th, 30th December 2012 and 1st January 2013.
